Call for papers

Students are invited to present their work in a form of abstract, poster and oral presentation written and presented in English. Abstracts will be published in the IPSSC 2022 book of abstracts.

The abstract emphasis is on the application point of view of your research. Take a look at the guidelines below for detailed information.

Note that a submission consists of an abstract only, so you have time to prepare the poster until the conference.

Who is the conference for?

The conference is intended for all students of science, technology, engineering and other related fields. Both students of the Jožef Stefan Postgraduate school (IPS/MPŠ), and students from other institutions can submit their work. You do not need to be enrolled in a study programme at IPS/MPŠ to participate and are kindly invited to participate with a presentation of your research work. The conference is an excellent opportunity for you to see what is happening in different research fields and to meet other participants from your field of work, including students from IPS and Jožef Stefan Institute. Don't hesitate and send us your contribution!

Guidelines

For the initial submission, you need only submit the abstract part of your presentation. You then have time until the conference to prepare a poster and presentation of your work. In preparing both your abstract and poster, please follow the guidelines outlined below.

Abstract guidelines

The abstract should contain one (1) A4 page of scientific text. Please see the abstract template with detailed instructions.



Poster guidelines

  • Poster size is A1 (594 x 841 mm).
  • Author must put the following information on the poster: name, surname, school, programme, mentor, and author's picture.
  • All posters are required to conform to portrait orientation.
  • Use bullets, and keep text to a minimum. Don’t crowd information onto the poster. Keep figures and tables simple.
  • Above all, be creative. Feel free to express your research - your way.
  • You can use the poster template as a basic guideline.

Important - The deadline for the submission of your presentation (ppt file) is May 21 via ipssc@mps.si. Please also note, that it is your responsibility to print your own poster on time and bring it to the conference site.

About Kamnik

This year we’re hosting the IPSSC2022 in Kamnik, a town embraced by the Kamnik-Savinja Alps, considered one of the most beautiful medieval towns in Slovenia. Kamnik has a long history of industry and innovation, being one of the technologically most propulsive towns in Yugoslavia. The venue for this year’s conference, the Mekinje Monastery, has a 700 year history, serving as a girls’ school in the first half of the 20th century and later run by the Ursuline Sisters who donated the monastery building to the Municipality of Kamnik in 2016. Nestled in the forests surrounding Kamnik, the Monastery will provide our participants with an environment free of various distractions and stimulate them to think and ask questions.

FAQ


Q: Do I need to submit an abstract to join the conference?
A: Although we strongly encourage each participant to submit an abstract and prepare a presentation, it is not mandatory. You will of course not get published in the proceedings and will not be eligible for any award.

Q: Can I just submit an abstract and not prepare a presentation?
A: Technically you can, but it will not be published in the proceedings and you are not eligible for any of the awards.

Q: Will my abstract be published if I prepare a presentation but no poster?
A: Yes, it will be published, but you will not be eligible for an award?

Q: What do I have to do to be eligible for the awards.
A: You have to submit an abstract on time, prepare a presentation and a poster. You should be proactive, encourage people to ask you questions, be prepared to talk about your poster, etc.

Q: How will I pick my bed?
A: We will send out a list of all accommodations and you’ll will be able to pick yours. The selection process will be based on “first come, first serve”.

Q: Will I get breakfast, lunch and dinner?
A: IPSSC will provide you with breakfast each morning and snacks during coffee breaks. We will also provide dinner both days, which will probably be buffet style. Lunch will not be provided, you will be encouraged to visit one of many nice restaurants in Kamnik and stretch your legs. We will list the restaurants and their locations on the IPSSC website before the conference.
Q: Will you print my poster?
A: No, you have to print the poster yourself and bring it to the venue. Please note that it may take longer to print the posters, because of a larger number of participants. There will not be an option to print the poster on-site. In case of an “emergency” there are print shops in Kamnik.

Q: Will I have to give a regular presentation and an extra one for the poster?
A: You give a regular presentation in the form of a pitch. Each presentation will have a five-minute limit. It is up to you as presenter to divide time between your presentation and Q&A, but keep in mind the minimum length of presentation required is three minutes and that five-minute presentation will not have Q&A. You are also encouraged to prepare a poster so that you can invite people to your poster during your pitch and then discuss it a bit deeper during the poster session.

Q: Do I have to pay anything for the conference?
A: As we received extremely generous sums from our sponsors, including JSI and IPS, all costs are covered and you don’t need to pay anything. To emphasise again, we do not cover the day meal/lunch! You’ll be able to visit restaurants in Kamnik.

Q: Are the rooms gender specific?

A: No, we do not plan to make rooms gender specific. Though you are able to pick the rooms yourself and plan accordingly. Each reservation will also be associated with an email so you can directly contact a person and ask them to swap beds/rooms if you wish. The picking of the beds will be determined by a “first come, first serve” process.
Q: Can I come stay at the Monastery/B&B a day before the conference? Can I stay longer after the conference ends?
A: We have not booked any extra days for any of the rooms, so this will not be covered or organised by IPSSC. You are free to check with the Monastery/B&B if they can arrange anything for you, which you can pay for out of your own pocket.

Q: Who will pay the accommodation fees?
A: The accommodation fees for 1 June to 3 June are covered by IPSSC.

Q: I don’t like my room, can I switch with someone?
A: That’s up to you and that person. In the spreadsheet we sent to your email you can find the contact information for each person. Ask them if they would like to switch with you. You have until 23:59, Sunday 29 May to make any arrangements.

Q: What will I do with my poster when I get to the conference?
A: You’ll get a number of your poster position, and instructions on how to put it up. Your poster will be displayed for one whole day, and you are encouraged to be present by it the day that it is presented so you can answer questions and discuss your topic. The day your poster is not up, you should spend time during the poster sessions and breaks to look at other posters.

Q: How will you pick the winners in each category?
A: Our expert group (professors from each respective IPS programme) will select the “best abstract” awards, based on their evaluation of each contribution. The peer award will be selected by all the participants present on Friday, who will vote for the best presenter (poster&ppt together). The Science Communicator award will be selected by SCOC.
